This page is a technical scaffold, not a finished privacy policy. The sections below describe what the application actually does today, verified against its source code. The legal framing — retention periods, your rights, which law applies, and who to contact — has not yet been written and needs review by a qualified privacy professional before this page can be considered final.
Information we collect
To provide the practice-management service, Steadely stores information entered by your clinic: client names, email addresses and phone numbers; dog names and details; appointments; treatment and clinical records; exercise programmes; and photographs you upload. If your clinic uses the optional AI-assisted session capture feature, a voice recording is transcribed and the transcript is used to draft clinical notes for the practitioner to review before saving.
How recordings and transcripts are handled
Voice recordings are sent for transcription and deleted immediately afterwards — they are not stored. The resulting text transcript is used to prepare a draft of the clinical record, which a practitioner must review, edit as needed, and explicitly approve before anything is saved as part of your dog's permanent record. Nothing generated by this process is saved automatically.
Third parties
Steadely relies on a small number of service providers to operate: Supabase (database, authentication and file storage), Vercel (hosting), Anthropic and OpenAI (only when AI-assisted session capture is used, to draft clinical text and transcribe recordings), and Xero (only if your clinic chooses to connect its accounting organisation). No advertising, analytics, or tracking service is used anywhere in the application.

Retention periods, your rights to access/correct/delete your information, the legal basis for processing, whether the Australian Privacy Act (or another law) applies, and how cross-border transfer to these providers is handled are all pending a decision from a qualified privacy professional. This section will be completed once that review is done.
